Accounts payable, without the guesswork

Every inbound invoice, in one truthful queue.

Invoice Manager is an accounts-payable workspace for inbound supplier invoices. Review, query, approve and process every invoice without losing status, assignment, or exception context. No spreadsheet reconciles anything, because nothing ever left the queue.

Built for inbound AP, not outbound billing or sales invoicing. UK data residency by default.

An inbox is not an accounts-payable system

When more than one person touches supplier invoices, a shared inbox stops being enough. Status lives in people’s heads. Exceptions hide next to fine invoices. Approvals wait on whoever has the folder open.

The problemWhat changes

Every invoice belongs to everyone, and no one

Shared inbox, no owner: everyone can see it, nobody is accountable for moving it on.

Fixed by

My Invoices, a queue scoped to what is actually assigned to you.

Queries have nowhere to live

Supplier questions vanish into email threads instead of sitting on the invoice they belong to.

Fixed by

In Query, its own queue for invoices waiting on a supplier response.

A failed invoice looks just like a fine one

Exceptions don’t surface themselves: failures hide in the same list as invoices that are fine.

Fixed by

Failed, a dedicated queue for invoices that could not be processed.

Approval waits on one inbox, not a rule

Thresholds and routing stay informal: sign-off depends on whoever opened the shared folder last.

Fixed by

Approval Rules that route by condition, and Approval Requests as a single place to act.

No one can say who touched what, or when

Audit means archaeology: who approved what, and when, lives in memory and scattered screenshots.

Fixed by

Logs, a record of invoice creation and status history you can actually open.

The one invoice you need is buried in hundreds

Search and queues aren’t first-class: the urgent row looks like every other row until someone scrolls to it.

Fixed by

Starred: mark it once, and it stays one click away.

Invoice Manager keeps AP status truthful: each invoice sits in a named stop, with an owner, until it’s done.

A conveyor with named stops

Think of inbound invoices as a conveyor with named stops, not a shared inbox. You always know what an invoice is waiting on and who holds it.

Where Grace works day to day

Three queues cover most of the clerk’s week: scoped, searchable, and honest about what each row is waiting on.

My Invoices

What’s assigned to you now: the screen to open first each morning.

Invoices

Every inbound invoice in one place, searchable and filterable: the team-wide view when you need the full picture.

Starred

The handful you’re watching closely: one click back, not a re-search through hundreds of rows.

When an invoice can’t just go through

Exceptions and approvals each have a named home, so nothing waits on whoever happens to remember it.

In Query and Failed

Queries have a home. Failures don’t pretend to be fine. The queue says what the invoice is waiting on, so the clerk doesn’t rediscover it by accident two weeks later.

Requests and rules

Approval waits on a rule, not on whoever opened the shared inbox. Thresholds and routing live in Approvals; the audit trail shows who acted and when.

Riverside Facilities Group: one close, without the inbox archaeology

Example walkthrough (illustrative organisation, not a customer case study). Riverside is an illustrative example, not an Invoice Manager customer. In the story, they’re a mid-market team processing a few hundred supplier invoices a month across multiple suppliers, with an AP clerk, a team lead, and a controller who need the same status truth.

Grace, Owen and Priya read the same status

In this walkthrough, status and ownership stay on the invoice. Queries don’t vanish into email. Approvals follow rules. Close arguments are about invoices, not about whose spreadsheet was right.

Grace, AP clerk

Works My Invoices and exceptions every day.

Owen, AP team lead

Owns load, rules, and what’s stuck.

Priya, finance controller

Needs a truthful view for close, without a seat for every looker if you later add shareable reporting.

FAQ

Is this for outbound billing / sales invoices?

No. Invoice Manager is for inbound supplier invoices (accounts payable). Outbound billing is out of scope.

Is Riverside a real customer?

No. Riverside Facilities Group (and Grace, Owen, and Priya) are an illustrative example used only to show how the queues fit together.

Where is our data held?

UK data residency by default. Privacy and Terms are on the Quantum Foundry site.

Can we export everything today?

Full export is on the roadmap and not yet live. The journey guide notes export as planned; we don’t promise it on the homepage until it ships.

Do we need a finance-system migration?

No. Start with the inbound queue; you’re not rip-and-replacing the ledger to get truthful status.
